Scheduling Instagram content used to mean setting a phone reminder and posting manually. Today you can schedule feed posts, carousels and Reels ahead of time, either inside Instagram or with a third-party tool, and Stories are increasingly supported too. There are still a few things that can't be automated, and knowing them up front saves a lot of frustration.
This guide covers the native options, the account requirements, how to schedule with Postoni step by step, and the details for Reels, Stories and carousels.
Key takeaways
- You need a professional account (business or creator) to schedule with third-party tools. Personal accounts can only use in-app scheduling.
- Feed posts, carousels and Reels can be published automatically through Instagram's official API.
- Some things still need the app: trending audio, most stickers, collaborator invites in some cases, and interactive Story elements.
- Plan the grid visually before you schedule. It's much easier to fix the order before anything is live.
Can you schedule natively?
Yes, in two places.
In the Instagram app. Professional accounts can schedule feed posts, carousels and Reels directly. When you reach the final screen before sharing, open Advanced settings (or More options, depending on the app version) and turn on Schedule this post. You can schedule up to 75 days ahead. It works, but only for Instagram, and only from your phone.
In Meta Business Suite. If your Instagram account is linked to a Facebook Page, Meta Business Suite (on desktop or in the app) lets you schedule feed posts, Reels and Stories for both Instagram and Facebook. It's free and reliable, but it only covers Meta's own networks.
Third-party schedulers make sense when you publish to more than Instagram and Facebook, work in a team that needs approvals, or want one calendar for every channel.
Requirements
To schedule Instagram content from any third-party tool, including Postoni:
- A professional account. In Instagram, go to Settings and activity, then Account type and tools, and switch to a professional account. Choose Creator if you're an individual or Business if you're a brand. Both work for scheduling, and switching is free and reversible.
- A Facebook Page link (optional for most tools). Instagram's API supports logging in directly with Instagram, so a Facebook Page is no longer strictly required for publishing. Some features, like cross-posting to Facebook, still rely on it.
- Media that meets Instagram's specs. Images between 4:5 and 1.91:1 aspect ratio, and Reels in 9:16 at up to 90 seconds when published via the API (longer Reels can be posted from the app).
Plan your grid first
Your grid is the first thing people see when they visit your profile. Planning it before you schedule helps you spread out formats and colours and avoid three similar posts in a row. Try dragging the tiles below to reorder the next nine posts. The top-left tile is the next one to go live.

A common rule of thumb is to alternate formats in each row of three, for example carousel, Reel, photo, so the grid doesn't look repetitive. Reels display as 9:16 in the Reels tab but are cropped to 4:5 (or 3:4) on the grid, so choose covers that work cropped.
Schedule with Postoni step by step
Connect your Instagram account
In Postoni, open Channels and add Instagram. You'll sign in with Instagram (or through Facebook, if you prefer the Page-linked method) and grant publishing permissions.
Write the caption
Instagram captions can be up to 2,200 characters with up to 30 hashtags, but only about 125 characters show in the feed. Put the hook first. The Instagram character counter checks this for you.
Choose the post type
Pick feed post, Reel or Story in the Instagram settings for the post. Carousels are created automatically when you add more than one image or video.
Pick a time and schedule
Choose a slot, ideally in your audience's local time. Our best time to post guide has starting points. Postoni publishes it at that time through Instagram's API.
If you work with a team, plans from Team upwards include approvals, so a draft can be reviewed before it's scheduled. You can also draft and schedule Instagram posts from an AI assistant via MCP; see our AI agents page for supported assistants.
Reels: covers, audio and what can't be automated
Reels can be published automatically through the API, but there are limits worth knowing:
- Audio. Instagram's API doesn't let third-party tools add tracks from Instagram's music library, including trending audio. If you want a trending sound, either add it in your video editor before upload (only if you have the rights) or publish that Reel from the app. Original audio in your video file works fine.
- Covers. You can usually choose a frame from the video as the cover. Custom uploaded cover images are supported by some tools and API versions but not all, so check the preview before scheduling.
- Length. Reels published via the API are limited to 90 seconds at the time of writing. Longer Reels have to be posted from the app.
- Effects, stickers and text. In-app effects, text styles and interactive stickers aren't available through the API. Burn text into the video in your editor instead.
- Collaborators and product tags. Support varies and changes often. Treat them as "check before you rely on it".
Stories
Stories can be scheduled and published by third-party tools for professional accounts, with one big caveat: interactive elements such as polls, questions, quizzes, link stickers and music aren't available through the API. A scheduled Story is essentially an image or a short video.
For Stories that need a link sticker or a poll, the common workaround is to schedule a reminder and post that Story manually from the app. Meta Business Suite does support some extras, like link stickers, so it's worth using alongside your scheduler for interactive Stories.
Carousels
Carousels hold up to 20 images or videos and are among the most-saved formats on Instagram. When scheduling:
- Keep a consistent aspect ratio. Every slide is cropped to the ratio of the first one, so make them all 4:5 (1080 × 1350) for the most screen space.
- Lead with a hook slide. The first slide decides whether people swipe.
- Mix photos and videos if it helps the story. The API supports both in the same carousel.
- End with a clear next step, such as saving the post, visiting your profile, or a question for the comments.
Best time to post on Instagram
Across the public studies we reviewed, Instagram engagement peaks on weekdays from about 10:00 to 15:00 in your audience's local time, with Tuesday and Wednesday slightly ahead and a second window in the evening. Reels are less time-sensitive than feed posts because they keep being distributed for days. The full guide has an interactive heatmap you can set to your audience's time zone.
Frequently asked questions
Can you schedule Instagram posts for free?
Yes. Professional accounts can schedule feed posts, carousels and Reels in the Instagram app, and Meta Business Suite schedules Instagram and Facebook content at no cost. Third-party tools are useful when you also post to other networks or need team workflows.
Can I schedule Instagram Stories?
Yes, for professional accounts. Scheduled Stories can include an image or a video, but interactive stickers such as polls, questions and music can't be added through the API. Post those Stories from the app.
Why can't I add trending audio to a scheduled Reel?
Instagram's API doesn't give third-party tools access to its music library. Use original audio in your video file, or publish Reels that need a trending sound directly from the Instagram app.
Do I need a Facebook Page to schedule Instagram posts?
Not anymore for most tools. Instagram's API supports connecting with an Instagram login. A linked Facebook Page is still useful if you want to cross-post to Facebook or use Meta Business Suite.
